Residential Life Operational Policies for the Academic Year

Check-In/Out

When you check into your hall, you will be given a Room Condition Report form (RCR), which was completed by your RA. You are responsible for reviewing, signing and returning the room condition form. It is extremely important to accurately complete the inventory. It will serve as the basis for checkout charges if damage occurs during the year. You must follow the proper checkout procedures when vacating the residence halls. Failure to checkout properly will result in a minimum $50 improper checkout fee. Discipline sanctions, which are not completed at the time of checkout, are considered an “improper check-out” and will be assessed accordingly. You may also be charged for any cleaning which is subsequently required. You are responsible for taking care of your room and for any damage or loss in your room or to equipment, which is part of university housing facilities.

Room Changes

As mentioned, being a roommate may be one of the most challenging and rewarding experiences you face at Emporia State. Whether you are living with an “old” friend or a “new” one, the first few weeks will be full of adjustments and discoveries about the person(s) with which you share a room.

Except in medical cases, room changes are typically only allowed after the first 20 class days of the semester have passed. Your RA and RHD will help you with a room change after they have helped you explore the problem you and your roommate(s) seem to face. There is a $10 charge for additional changes requested by roommates. If you change rooms or halls without proper authorization, you will be required to move back to your original room and will be charged $50 for an improper checkout.

Students whose roommates move out or make changes should also check with the RHD to see if their billing status has changed. In these cases, it is important to realize that unless a single room is being paid for, a roommate may be assigned to you or you may be assigned to live in another room with a roommate.

Temporary Expanded Occupancy

In the event you are assigned to space designed as expanded occupancy, you will be given a permanent assignment as soon as space permits. The move to a permanent assignment may require you to move to a different residence hall. However, every effort is made to keep you within your requested residence hall.

Summer Housing
Generally, one residence hall is open for summer student housing. Applications for summer housing are available at the Department of Residential Life in April of each year. You must be an enrolled student to live in summer school housing. Summer housing does not close for summer breaks/vacations.

Hall Policies During Break Period

(Academic Year 2005-2006)
As outlined in your housing contract residence halls will be open for the following periods:

Open on August 17, 2005, at 10:00 a.m. and close at noon on December 17, 2005, for fall semester.

Open on January 8, 2006 at noon and close at noon on May 14, 2006, for spring semester.

Break Check List

Please adhere to the following steps when vacating your room during the break period:

1. Clean your room.
2. Empty your trash.
3. Disconnect all electrical appliances.
4. Lock all windows.
5. Close your drapes.
6. Turn your lights out.
7. Defrost refrigerator and leave door open.
8. Lock your door when you leave.
