International Student Exchange Program and the ESU Direct Exchange Program

Financial aid applicants must first complete, on a timely basis, all of the necessary aid application forms for the appropriate year, i.e., Free Application for Federal Student Aid (FAFSA), institutional scholarship application, any other appropriate aid application form. If you are interested in funding your study abroad trip through financial aid, please review the STUDY ABROAD INFORMATION SHEET for financial aid purposes.
- Students applying for federal aid must bring to the office of student financial aid a STUDY ABROAD VERIFICATION FORM for financial aid calculation from the Office of International Education verifying the student's acceptance to participate in either the ISEP or the Direct Exchange Study Abroad Programs. This approval needs to identify the following.
a) Specific study abroad program (ISEP-I; ISEP-II; or Direct Exchange).
b) The academic period in which the study abroad will take place.
c) The school and country in which the student will study.
d) Documentation of specific costs attributable to the study abroad which may be included in the student's cost of attendance.
- A prior approval form showing coursework to be completed must be approved by the ISEP Coordinator, Dr. Phil Coleman-Hull, Director for Study Abroad & International Services.
- A representative from the Office of International Education will work in consultation with the academic advisor in enrolling the students in the study abroad programs in the appropriate courses for each period covered by the study abroad. For financial aid purposes, students need to be enrolled in ESU coursework so that financial aid may be disbursed on a timely basis. Secondly, enrollment in ESU coursework is necessary for the continued deferment of prior student loans. The courses in which a student is enrolled is dependent upon the applicable study abroad program, as follows:
a) ISEP-Exchange -- Students will enroll in ESU's study abroad course FL095 PA which will be equal to 12 credit hours. Students will pay the equivalent of full time tuition/fees, on-campus room and board, as well as a $25 administrative course fee to the Office of International Education at Emporia State. These costs will cover the expenses of an incoming ISEP student who has paid for these expenses at their home institution on behalf of the outgoing ESU student.
b) ISEP-Direct -- Students will enroll in ESU's study abroad course FL095 PB (12 credit hours). An administrative course fee of $25 is payable by the student to the Office of International Education at Emporia State along with other attributable tuition/fee and room and board expenses to be paid into the ISEP account. The Office of International Education will in turn forward payment to ISEP for tuition/fees, room and board on behalf of the students. These ISEP-II students do not pay tuition/fees directly to Emporia State.
c) ESU Direct Exchange -- Students will enroll in FL095 PC (12 credit hours) and will be liable to pay full time tuition/fees as well as a $25 administrative course fee to the Office of International Education at Emporia State. The student pays room/board at the school they are attending. If the student remains in the Direct Exchange Program for a second semester, the student will pay tuition/fees at the host resident rate, as well as room and board, to the host institution and will not be charged ESU tuition/fees. A second $25 administrative course fee will be payable to ESU's Office of International Education for the second term during which time the student will be enrolled in FL095 PD.
* The use of FL095 PB and FL095 PD will result in "zero" tuition/fees payable to the cashier's office at Emporia State University.
d) Incoming Direct Exchange Students -- Incoming Direct Exchange students will pay campus privilege fees plus room/board and health insurance to Emporia State University. Subsequent semester's resident rate for tuition/fees will apply (as well as room/board and health insurance).
- Prior to leaving for study abroad, outgoing students must have a final review with the office of student financial aid so that all pending matters can be finalized. Students should provide to the financial aid office, as well as other appropriate entities on campus, a home telephone number as well as an e-mail address so that communication will be made easier.
- Prior to leaving for the study abroad, students need to ensure that the cashier's office has received the necessary paperwork (i.e., payment agreement form, bank deposit slip) so that when financial aid becomes available, the aid can be disbursed and any excess financial aid may be deposited with the appropriate banking institution.
- Upon completion of coursework in any of the ISEP-I, ISEP-II or Outgoing Direct Exchange study abroad programs, students are responsible for sending an official transcript to be mailed to the office of the registrar at Emporia State University. At the end of the study abroad semester(s), all students enrolled in any of the FL095 sections will receive incomplete grades until the official transcripts are received and evaluated.

Personal Documents
- Passport: Apply for a passport at your post office. If you have a passport, be sure it will remain valid until your return. You can also click on Travel Information in Step 2 for Passport information.
- Visa: Some countries require a visa, an endorsement stamped on your passport granting entry to the country. Your study abroad advisor will tell you if a visa is required, although it is your responsibility to obtain the visa from the U.S. consular office of the country you will visit. You can also click on Travel Information in Step 2 for Visa ordering and other information.
- Health Insurance: Health insurance is required for all students on ESU programs. Check with your health insurance provider to be sure you will have major medical coverage while overseas and be sure you know the procedure for filing a claim from overseas. If you do not have major medical health insurance that is valid overseas, ask at the OIE for brochures about policies designed for students studying abroad. A Health Insurance link is also provided in Step 2 that may be able to help you.
