Partnership allows Emporia State to launch eTranscript service

Emporia State University is on the cutting edge of technology after launching a new electronic transcript system that enables students to request and receive their transcripts at their convenience.

“Since the system is automated, students can request and receive their transcripts 24/7, not just when the registrar’s office is open,” explained Mike Erickson, Emporia State associate vice president for information technology and chief information officer.

The new system — Ellucian eTranscripts — is a service of National Student Clearinghouse and Ellucian, which also provides the Banner administrative system used at Emporia State. With the launch of the eTranscript service, Emporia State University is the first Banner client offering the service.

“Emporia State University was a beta site for the implementation of this process,” said Registrar Elaine Henrie. “This meant that we were able to have some input into the development process and helped us ensure that this was a viable solution for our students.”

Added Erickson: “IT and the registrar’s office held daily calls with both National Student Clearinghouse and Ellucian, assisting in the identification of problems in the process and testing the many different scenarios of student types, transcript types and destination types.

“Because of the commitment of the Registration and IT staff, Emporia State students and alumni have access to this service months before any other students across the country,” Erickson added.

Using the service is simple, Henrie said. Those needing transcripts can go to the Registration Office’s webpage — www.emporia.edu/regist/ — and click the “online transcript ordering” link. From there, they are redirected to the National Student Clearinghouse secure website.

After authenticating their identities, submitting their transcript requests and paying for them, most students will have a PDF of their transcripts within 20 to 30 minutes.

“This service is for the benefit of students who may need very quick turn-around for a transcript,” Henrie said. “They may need it for a job application or to apply for a scholarship and they may need it today.”

Students can also ask that the transcripts be sent elsewhere, for instance, to another college or university for a graduate school application.

The new eTranscript system is an added benefit for students, Henrie said.

“Students can still come to or call our office to order transcripts,” she said. “But eTranscripts offers a simple process to accelerate the timeline.”

That also is beneficial for the Registration staff, Henrie said, by decreasing the amount of transcript requests that have to be handled manually. And, because of the partnership to develop the system, there was no additional cost for Emporia State to implement Ellucian eTranscripts.

“It’s a win-win situation for everyone,” said Erickson.
