Policy – Use of Laptop Computers/Netbooks from the Circulation Desk for Instruction Sessions

In special circumstances, additional laptop computers and/or Netbooks checked out at the Circulation Desk may be needed to accommodate library instruction sessions. These circumstances include, but are not limited to:

• Instruction sessions when the number of students in a class exceeds 28 (for use in the Library Electronic Classroom)
• Instruction sessions taking place in another room in the WAW Library

It is the responsibility of the librarian teaching the instruction session to:

1. Determine the number of laptop computers/Netbooks needed for the session
2. Communicate with the Head of Access Services and the Circulation Supervisor about the number of computers needed a minimum of 24 hours in advance of the session
3. Communicate with the Head of Access Services and the Circulation Supervisor about any peripherals needed, such as mice and power cords
4. Arrange with the Head of Access Services and the Circulation Supervisor a time for the librarian to pick up the computers and peripherals, and a time to return them to the Circulation Desk

It is the understanding of Access Services and the instruction librarians that the priority use of the laptop computers and Netbooks is for patron checkout, and that availability of the equipment may fluctuate depending upon prior needs.

This policy will be revisited by the Head of Access Services, the Head of Information and Instructional Services, and the Instruction Coordinator at the end of each semester to determine any changes needed.

Procedures – Use of Laptop Computers/Netbooks from the Circulation Desk for Instruction Sessions

1. A minimum of 24 hours before the instruction session, the instruction librarian will discuss the Head of Access Services and the Circulation Supervisor the number of laptop computers/Netbooks needed for the session, as well as any peripherals needed such as mice and power cords.

2. The Head of Access Services and the Circulation Supervisor will determine the availability of the equipment, and inform the instruction librarian of its availability.

3. The instruction librarian will arrange a time to pick up the equipment from the Circulation Desk, as well as a time to return the equipment.

4. The instruction librarian will take the responsibility of distributing the laptop computers/Netbooks to the students in the class session, ensuring that all equipment is returned to the librarian at the end of the class session, and ensuring that all equipment is powered off before it is returned to the Circulation Desk.

5. These procedures will be revisited by the Head of Access Services, the Head of Information and Instructional Services, and the Instruction Coordinator at the end of each semester to determine any changes needed.
