Registration

When can I Register?

You can begin registering for a term when the Registrar opens registration.  Typically, registration for the Fall and Summer semester occur in mid-March and registration for Spring occurs in mid-October.

Can I register after Drop/Add?

You cannot register after the drop/add period without special permission. 

Can I drop a class after Drop/Add?

You can only drop without penalty during the designated drop/add period.  The official drop period is the first 10 class days of each semester.  No record of classes that are dropped during the drop/add period shall appear on the transcript.  For classes taught in less than the regular semester, the official drop period shall be determined by the Registrar's office.

How do I withdraw from a course or all of my courses?

In order to withdraw from one or more, but not all course, you should contact your advisor to obtain the properly signed forms.  You must withdraw through the Office of the Registrar.

How many hours must I be enrolled for full-time or half-time status?

A full-time graduate student is defined as a graduate student who is taking 6 or more graduate level credit hours per semester.  A part-time graduate student is defined as a graduate student who is taking 5 or fewer hours per semester. 

How do I find the amounts for tuition and fees?

I am on a graduate assistantship; do I need to pay fees?

Yes, all GAs must pay fees, but are provided with a tuition waiver.


Grades

What happens if my graduate GPA (course average) drops below 3.0?

All graduate students must earn a GPA of 3.00 in all courses used for the degree. If the student has not been admitted to degree candidacy, and has below a 3.0 GPA, the program has the option of not admitting the student to degree candidacy in the program of study.  Students who do not have a 3.0 in all courses used for the degree after being admitted to degree candidacy, cannot have their degree conferred until the GPA is 3.0.

What happens if I get a C grade in a 600 level graduate class?

Only grades of A, B or P can be used for 500 and 600 level courses.  If you earn a C, D, or F in 500 or 600 level classes, you must retake the course.  


Student Records

How can I get an official copy of my ESU transcript?

You can order an official transcript through the new online transcript ordering system.  Go to http://www.emporia.edu/regist/trnscpt/ and click on Online Transcript Ordering

When can I expect my diploma?

It usually takes 4 to 6 weeks after the end of the semester you graduated to receive your diploma.

How do I change my address, name or phone number?

You can request your address change by going to http://www.emporia.edu/regist/enroll/address.html or call the Graduate Office at 620-341-5403.

If you want to change your name, you must contact the Office of the Registrar at 620-341-5211


Theses/Dissertations

Are there any forms that must be completed prior to writing my thesis?

Yes, you need to submit the Thesis and Dissertation Committee Declaration Form.  Please print off form and make sure all committee members sign form.  This form must be completed the semester prior to completing your thesis.

Is a format required for my thesis or dissertation?

Yes, please check the thesis handbook or dissertation handbook for complete information.

How many copies of the thesis does ESU require?

Only one copy, which is taken to White Library for digitization.

How much does binding a personal copy of my thesis cost?

Personal copies cost $20.00 each plus the applicable sales tax

When will I get my personal bound copies back?

We wait until all theses for the semester are in to us.  Then they are prepared for pickup by the bindery.  The bindery picks up one time a month and delivers the bound copies back the next month.  Summer thesis copies are usually back by mid-October, Fall thesis copies are normally back by mid-March, and Spring thesis are usually back by mid-July.  These times, however, are very fluid.  Your thesis copies will either be mailed to you or you will be called when they arrive, depending upon your instructions at the time the manuscripts were submitted.

When do I have to have my thesis turned in to the Graduate School?

First thesis copies approved and signed off on by your department are normally due 3 weeks before the close of a semester.  Thesis due dates appear in the thesis guide and also should be on the Graduate calendar on the Graduate School website.


Graduation

Is there a time limit to finish my graduate degree?

Yes, if you are pursuing a masters degree, you have a period of 7 years from the first date of enrollment to complete your degree.  If you are a PHD student, you have a period of 8 years from the first date of enrollment to complete your degree.

What is a degree plan?

A degree plan is a definition of the course of study necessary to fulfill the requirement for a graduate degree.  The plan is established in collaboration between you and your graduate advisor.  Typically a degree plan is submitted to Graduate Office after the first 6 hours of graduate work.

Where can I find a checklist outlining what I need to do to complete a degree at ESU?

How does the Graduate School know that I am ready to graduate?

All graduate students must submit an “intent to graduate” form by the deadline posted for the semester that you anticipate graduating.  The form is submitted electronically; go to http://www.emporia.edu/grad/graduating-students/intent-to-graduate.html

I submitted my intent to graduate last semester but didn't graduate. Do I need to submit “intent to graduate” form again?

When and where will the commencement ceremony take place?

Formal Graduate School commencement ceremonies are held in May and December. The May ceremony is held at 9:30 am in Welch Stadium, the August ceremony (graduate and undergraduate combined) is held at 9:30 am at White Auditorium. We request that you report to the coliseum at least an hour prior to the start of the ceremony for assembly of the procession. Tickets are not needed for family members and guests.
